Project Assistant Consultant


Background of this search:

The Labor Markets and Social Security Division is looking for a project assistant consultant that will support the Division as a member of project teams along the life cycle of Bank operations, such as loans, technical cooperation’s (TC), and knowledge products. In addition, as part of the responsibilities derived from operation’s activities, the contractual will provide logistical and administrative support to guarantee successful missions and operational processes.

The team’s mission:

The Labor Markets and Social Security Division (SCL/LMK) promotes more and better jobs in Latin America and the Caribbean. The IDB works to achieve regional goals in poverty reduction, equity of opportunities and improvement of labor productivity, through the strengthening of employment and training services, improvement in the design and scope of social security, and analysis of labor markets and labor information. To achieve these goals, the IDB is currently focusing on analytical work and projects in the following four main areas: Intermediation, Labor Training, Labor Force Migration and Social Security. The Social Sector (SCL) is a multidisciplinary team convinced that investing in people is the way to improve lives and overcome the development challenges in Latin America and the Caribbean. Jointly with the countries in the region, the Social Sector formulates public policy solutions to reduce poverty and improve the delivery of education, work, social protection, and health services. The objective is to advance a more productive region, with equal opportunities for men and women, and greater inclusion of the most vulnerable groups.

What you’ll do:

Projects: Technical Cooperation & Loans

  • Active, proactive and goal orientated team member, with the ability to participate constructively and to communicate effectively with colleagues and cross-functional teams at all levels of business
  • Use of Bank’s systems, including registration of operations in Convergence, its processing, review, and any other related activity associated with assigned projects, maintaining fluent and clear communication between team leaders
  • Preparation, update and follow up of schedules for Loan Projects. Compile all schedules regularly, identify potential delays and communicate accordingly with Project Team Leaders and Division’s Chief, as needed
  • Participate actively in activities and production of documents related to preparation and approval of Loan Proposals and TC, assigned according to the Division’s pipeline every year
  • Distribute mission announcements according to the Bank's policies to all members involved

Projects: Data Management, Reports and Analysis

  • Management and update of the Division's Operational databases. (Convergence, EZShare and Teams and others that may become available over time)
  • Creation and update of procedures guidelines, for different processes related to the team
  • Preparation of operational reports as needed by LMK Division. (Pipeline and monthly execution)
  • Labeling, reviewing, and submitting for disclosure of LMK assigned Loans and TC's documentation, per public information policy guideline.

Projects: Others

  • Request of TC closings, extensions, and eligibility clauses with the Operations peer and/or with the management (SCL)
  • Follow up with LMK's specialists and Operational peer any deadlines or relevant information related to projects portfolio from Management (SCL).
  • Follow-up on matters pending action and independently handling and expediting routine information requests.
  • Prepare memos and other communications required for document processing and distribution

Administrative Support:

  • Respond to requests and transactions from LMK-Invoice’s mailbox.
  • Process contracts and amendments in bank’s systems and ensure the recruitment process follows bank’s guidelines and follow up on their administration.
  • Assist with funds allocations, shopping carts, purchase orders, letter of agreements and invoice payments (including vendor creation and/or vendor update), using bank’s systems.
  • Support LMK Front Office in the planning and execution of team engagement activities.
  • Request payment of invoices corresponding to services especially those services under BEO contracts financed with TC funds
  • Continually check the mailbox of the division to ensure that requests related to funds with TC are processed in the shortest time possible
  • Provide support as initiator on the request of firms’ contracts (Convergence or using pertinent bank systems)
  • Assist in any other related activities of the Front office of LMK
  • The activities are part of the position’s main responsibilities; however, they do not exclude additional activities that may be necessary for completing tasks.

What you’ll need:

  • Citizenship: You are a citizen of one of our 48-member countries.
  • Consanguinity: You have no family members (up to fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB Group.
  • Education: Technical Studies or associate degree in Business Administration, Finance, Accounting, or any related field.
  • Experience: A minimum of two years of relevant professional experience.  Previous work experience and knowledge of the Bank processes and system is preferred.
  • Languages: Outstanding ability to read, write and speak Spanish and English.

Core and Technical Competencies:

MS Microsoft Office suite expertise required. Previous experience working with IDB tools/systems such as: ezShare, Meeting Planner, Convergence, Concur. Databases manage for reports (Ops, etc..). Excellent ability to work in a team and communicate effectively both orally and in writing.
