HRD/LDV Language Program Assistant Consultant


Background: The Human Resources Department’s Leadership and Employee Development Division is looking for an experienced, analytical and dynamic consultant who will contribute to the development, implementation, monitoring and evaluation of the products and services that the Language and Culture Program (LCP) offers.  The consultant will support LCP’s coordination in all administrative, budget-related and communication tasks.


The team’s mission: The Inter-American Development Bank (IDB)’s Language and Culture Program (LCP) contributes to enhancing the productivity and effectiveness of Bank staff by developing and continually updating the necessary skills needed to work in a multi-language, multi-country, multi-cultural, and multiple-stakeholder international organization. LCP accomplishes this by offering languages group and private classes and online learning language products to IDB employees to strengthen their core competencies.  IDB employees works in 26 country offices in Latin America and the Caribbean, in two regional offices in Spain and Japan, and in its Headquarters in Washington D.C.


What you’ll do: As a LCP program assistant, you will:  

  • Provide administrative support to all LCP programs (e.g., group and private classes, online solutions, etc.) by:
    • Preparing the nomination process (sending emails, updating communication pieces, etc.) for all programs and supporting Departments in their requests.
    • Managing all platforms used by LCP: Wufoo, SuccessFactors, Survey Monkey and Teachers’ Invoice System.
    • Planning sessions (collecting nominations, setting placement tests, creating class schedules, sending welcome emails, etc.)
    • Creating programs and registering participants in SuccessFactors as well as record completion of programs in SuccessFactors, as needed.
    • Maintaining programs databases and LDV shared folders up to date.
    • Creating, conducting, and reporting program´s evaluations.
    • Providing support to LCP Teachers and solving any technical issues in classrooms.
    • Producing quarterly reports on the registration, attendance of students/participants, final grades, and online licenses usage to be shared with departments and HRD management. Creating summary reports for Team Leader and HRD management.
    • Participating in meetings with internal and external stakeholders (e.g., vendors) and coordinating with them any logistical aspects needed for program development.
    • Supporting IDB staff with the activation of online licenses and administration of its processes as well as keeping track of private classes packages.
    • Making sure all program policies and deadlines are followed.
    • Creating a variety of documents such as jobs aids, guidelines, presentations and reports with data visualization and formatting curricula, syllabus and final exams of group classes per language.
    • Updating working files such as the room reservation template each session.
    • Handling calls, making appointments, and managing LCP mailbox as well as answering any Bank staff’s questions or doubts quickly and respectfully.
    • Maintaining office supplies and storage organized.
    • Translating, proof-reading, and editing a variety of documents.
    • Coordinating teachers’ meetings including the preparation and distribution of agendas and minutes as well as supporting the hiring process of teachers and their onboarding.
 
  • Provide budget and financial management assistance by:
  • Requesting the Finance Department to process teachers’ payments, making sure teachers charge the right number of hours and following up on the completion of the payment.
  • Keeping the financial records of the programs up to date and balanced through recording invoices and any expenses in the program’s template, requesting to pay any invoice and generating and preparing status reports, as requested.
  • Preparing and monitoring chargebacks of all LCP programs.
  • Develop and maintain communications with LCP stakeholders by:
  • Creating and keeping key communication pieces (key features, guidelines, bookmarks, etc.) up to date.
  • Providing Bank staff with LCP programs information including eligibility, dates, attendance, and academic requirements.
  • Monitoring and updating LCP programs website in English and Spanish.
  • Overseeing the creation of marketing material such as posters and flyers to promote the programs and requesting to post them in the Bank’s facilities.
  • Support LCP Team Leader in the development of new programs and special projects by keeping track of the progress, creating reports and sending communications.
  • Engage and make recommendations on LCP process improvement and innovations by:
    • Identifying and recommending high quality, automated, timely, accurate and relevant process improvements and solutions. Work with HR, KIC, ITE and other stakeholders to test and implement changes to improve operations and processes.
    • Designing processes and templates to improve efficiencies.
    • Researching for new technological tools and resources that facilitate all the LCSP processes.
    • Carrying out other tasks required for LCP logistical, reporting and/or academic purposes, as indicated by the Program Team Leader


What you’ll need:

Citizenship: You are a citizen of one of our 48-member countries. We may offer assistance with relocation and visa applications for you and your eligible dependents.

Consanguinity: You have no family members (up to fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB Group.

 

Education: Bachelor’s degree required (master’s preferred) in Human Resources, Business Administration, or any related field. The candidate must have a minimum of 3 years of relevant professional experience in similar functions.

 

Experience: 

    • Project coordination/management
    • Data administration, reporting, basic statistics and analytics tools as well as budget planning.
    • Highly skilled in Excel, Outlook, Word, and PowerPoint as well as in SharePoint, ezShare, OneDrive, and Teams.
    • Ability to troubleshoot audiovisual issues used in classrooms (e.g. TV, computers, etc.).
    • Knowledge in the use of Wufoo, SuccessFactors, Survey Monkey and Canva (is desirable).
 

Languages: English and Spanish are required. French and Portuguese are desirable.
