What you’ll do:

Provide administrative support to the Office of the Special Advisor on Gender and Diversity in daily Front Office activities, as follows:

Executive and Office Support:

  • Coordinate the day-to-day agenda of the Special Advisor on Gender and Diversity.
  • Support in organizing travel logistics and related arrangements for the Special Advisor and the office staff.
  • Coordinate D2S documentation.
  • Provide general administrative support to Special Advisor, Office staff, and resource planners.
  • Support the Office with miscellaneous activities, including greeting visitors, scheduling office resources, among others.
  • Capture comprehensive meeting notes and generate minutes for internal distribution when needed.
  • Provide information and guidance on the application of IDB administrative policies, regulations, and procedures.
  • Provide periodic briefing materials.
  • Prepare PowerPoint presentations.
  • Perform any other activities in supporting the day-to-day operations of the Office.

Event Coordination and Communications:

  • Support in the coordination of logistical arrangements for meetings and workshops, including agenda preparation, participant lists, technological requirements, and coordination with internal and external stakeholders. 

Resource Planning Support:

  • Support the Resource Planners in tasks related to hiring processes for complementary workforce and consulting firms, when needed.
  • Support the Resource Planners in all tasks related to the Office miscellaneous expenses, including proper documentation of payments and receipts.

What you'll need:

  • Education: Bachelor’s Degree.
  • Experience: Between 2 and 5 years of relevant work experience. Experience working at the IDB Group and/or with high-level executives is desired.
  • Languages: Proficiency in English and Spanish is required. Knowledge of one of the other Bank official languages (French, or Portuguese) is desired.

Technical Skills:

  • Calendar/agenda management and travel coordination experience highly desired.
  • Systems: Proficiency with Microsoft Office, including Outlook required. 
  • Concur system is a plus. 

Requirements:

  • Citizenship: You must be a citizen of one of the IDB’s 48 member countries.   
  • Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.

Type of contract and duration:

  • Type of contract: International Consultant Full-Time. 
  • Length of contract: 12 months.
  • Work Location: On site.
